Creating a Contact List on Outlook Online
The contact list formerly known as a Distribution list in Outlook Online allows us to send the same message to different people without adding each address separately. We can add up to 100 recipient members.
Step-1
Log in to the Outlook application in the Windows application to create a contact list.
Step-2
Click the dropdown arrow near the New Email button and select the Contact option on the Home page of the Outlook application.
Step-3
Once select the contact list and enter the name of the New contact list where it says Full name, Email and give the necessary details. Then Save & close to create a contact.
The contacts will be saved in Outlook Online and then we can share the contacts.
Creating a New Message to Send to the Contact List
Let’s see in Outlook Online to send a new message to send to the contact list. Here we go!
Step-1
Log in to the Microsoft Outlook application to create a new message to contact in Outlook Online.
Step-2
Click the “Mail” icon on the Home page of the Outlook Online application.
Step-3
Click the “Message” from the top of the Windows. Then the email page (to test) will appear and in the “To” place, type the recipient names and compose the email then click the “Send” button.
Step-4
Outlook will send emails to all the people available on the list.
This we are sending as a test mail to check whether contact is created also the mail is received or not in Outlook Online.
Creating a Contact List on Outlook Online from Browser
We have seen creating a contact list on Outlook Online from the Windows desktop application. Now we will see how to create from the web browser.
Step-1
Open the Outlook applications from a browser such as Chrome, Internet Explorer, Firefox, or Safari.
Step-2
Click the People or people icon on the Home page of the Outlook application to create a new contact list.
Step-3
Click New contact list under the arrow mark of New contact to create a contact.
Step-4
In this step, we can see a New contact list page and it will ask for the Contact list name, email address, and Description. Give the details and click Create.
Step-5
Once all the details are provided, our contacts will be added to the home page of Outlook. We can see the name of the contact that we have given while creating.

Share With the Specific People Within an Organization
The default Contacts folder in Outlook is created in the Outlook application. This folder can not be renamed or deleted. You might have additional contact folders. You can share any of these folders by following the below steps:
Step-1
In the people icon from the folder pane, click the required contact that you want to share with your organization.
Step-2
Click Share Contacts from the Share Contacts mail icon.
Step-3
In the To field, enter the recipient’s name for the sharing invitation message. If you want to change the Subject you can change the subject name. If you need to request permission to view the recipient’s default People folder in Outlook Online. Then select or enable the Request permission to view the recipient’s Contacts folder check box.
Note: If we want to request access to a contacts folder rather than the recipient’s default People folder, we must send an email message to ask for permission for the particular folder. This option only requests access to the recipient’s default People folder in Outlook Online.
In the message space, type any information you want to include, then click Send. Read the confirmation dialog box, and then if correct, click OK. The person in your organization receives the sharing invitation in email and clicks Open this Contacts folder.
Share With the People Outside the Organization
The default Contacts folder in Outlook is created in the Outlook application. This folder can not be renamed or deleted. You might have additional contact folders. You can share any of these folders by following the below steps:
Step-1
In the people icon from the folder pane, click the required contact you want to share with your organization.
Step-2
Click Home and then from the Share Contacts mail icon simultaneously click the Share contacts Outlook Online.
Step-3
In the To field, enter the recipient’s name for the sharing invitation message. If you want to change the Subject you can change the subject name.
Step-4
If you need to request permission to view the recipient’s default People folder. Then select or enable the Request permission to view the recipient’s Contacts folder check box in Outlook.
Note: If we want to request access to a contacts folder rather than the recipient’s default People folder, we must send an email message asking for permission for the particular folder. This option only requests access to the recipient’s default People folder.
The Error will be displayed when we try to send the sharing contacts with outside people is not suggested by the sharing policy. Only admin in our organization. Only an admin in our organization can have the authority to change the policy for our organization.
Step-5
The person outside our organization receives the sharing invitation in email and clicks Open this Contacts folder to see the mail in Outlook.
Note – If the person receives an error when we try to share our contacts with someone outside our organization, contact the person that manages our email account.
Share Contacts with Everyone in Outlook Online
If you want to share contacts with everyone in Outlook, follow the below simple process.
- In the people, from the folder pane click the Contacts option to share the contacts with everyone.
- Click Folders and then in the properties group, click Folder permission to do the next steps.
- Click Default in the name box.
- Under Permissions in the Permission level list, click the Publishing editor options. So that we can share contacts with everyone in Outlook Online.
